Controlling Footnote Flow
If your footnotes are too long to fit on their “home” page, they flow into the foot-
note section of the next page. (Endnotes flow to the top of the following page.) As a
courtesy to your reader, you may want to add something to the separator line—
“Continued on next page, for example. Word, being equally thoughtful, lets you do
exactly that.
Open the note pane as shown in Figure 6-3 and choose Footnote (or Endnote) Con-
tinuation Notice from the Footnotes menu. Type your thoughtful text, (“See next
page, or what have you), and click Close.
Tip: Word positions endnotes immediately after the document or sections text, according to your
specication. To put them on a separate page for printing, click in front of the rst endnote and choose
InsertBreakPage Break. If you have numerous endnotes, you may want them to start on a new page
so theyre easier to check against your paper.
Line Numbers
If youre a lawyer, Bible scholar, or aspiring Hollywood scriptwriter, you’re already
familiar with line numbering: tiny numbers in the left margin every five or ten lines
(see Figure 6-4). But even in everyday business, they’re occasionally useful; you could
email a press release to your boss and ask, “Let me know if I come on too strong in
lines 5–8, for instance.
Line numbers show up only in Page Layout view (choose ViewPage Layout). To
add them to your document, select the text whose lines you want numbered. If it’s a
single section, for example, click anywhere in that section; if it’s the whole docu-
ment, choose EditSelect All or press c-A. If youre at the start of a new document
and want to start numbering immediately, read on.
Tip: By choosing FormatParagraphLine and Page Breaks tab and turning on Suppress line num-
bers, you make Word skip over the selected paragraphs in its numbering. Keep this checkbox in mind
when dening a style, too, since you can use it to ensure that your captions are never numbered, for
example.
Choose FormatDocumentLayout tab. If you’ve selected text as described above,
choose “Selected text from the Apply to menu at the right; click Line Numbers.
Turn on Add line numbering” and set the following:
Start at tells Word what line to start counting with. Select 2, for instance, if you
want Word not to include the heading at the top of the page.
• From text is the distance from the left margin of the text. Auto is a good start
unless a certain distance has been specified.
Count by tells Word: “Show numbers only on every ___th line. The most com-
mon settings are 5, 10, and 20.
