Tool 11-1: Sample Welcome Letter

The welcome letter is an important part of the new employee orientation process. Its primary purpose is twofold:

  1. It confirms specific details about the position.

  2. It assures the employee that he or she has made the right decision in joining your organization.

The welcome letter should contain the following elements:

  1. an enthusiastic and genuine statement of welcome

  2. details of the position:

    • job title

    • start date and time

    • site location

    • brief job description

    • name of supervisor

  3. forms to sign and things to read

  4. review of reasons the person was chosen (relate them to skills and qualities)

  5. an offer to answer questions.
