Careful preparation is the secret of productive meetings. First and foremost, it is essential that the chair be clear about the objective or objectives of the proposed meeting. A useful way of double-checking is to ask yourself: ‘Where should we all be at the end of this meeting?’

There are four practical steps for meeting preparation:

1 Determine the purpose of the meeting

Consider possible aims, such as:

  • To engage in joint consultation.
  • To develop support for action.
  • To resolve unsolved problems.

2 Explore the subject

  • Collect/research facts and information.
  • Identify the main topics ...
